Group actions on the Manifest

Change the status of every guest on a reservation, message a timeslot, cancel or close it, all from the Manifest. The Manifest has no multi-select.

On a busy day you rarely act on one guest at a time. The Manifest gives you shortcuts that apply to a whole reservation or a whole timeslot. This page explains each one, and what the Manifest can't do.

The Manifest has no checkboxes for selecting several bookings, and no select-all. Group actions work on one reservation, one timeslot, or one day at a time.

Before you begin. Changing a booking status requires the Edit bookings on trips permission. It comes with the built-in Owner group, or any custom permission group that includes it. If you don't see the option, you don't have that permission yet, so ask an account admin to grant it to you.

Check in or change status for a whole reservation

Each active reservation row has quick buttons in the Actions column, one per booking status. Select a button and every guest on that reservation gets that status at once, for example Checked In for the whole party. See Checking in guests for the statuses.

For more control, select the waiver badge or a status pill to open the Trip Actions drawer. It has Change Status of All N Bookings, and, on reservations with more than one guest, status buttons for each guest.

When a status button is blocked

  • A voucher is required. If the reseller requires a voucher and none is entered, Checked In is turned off and an Add Voucher alert appears. Add the voucher first.
  • There's a balance due. Checking in opens a balance-due confirmation with an Add Payment option. See Skip the balance-due popup at check-in if you've chosen to turn that off.
  • You don't have permission. The button is grayed out and says you don't have permission to change booking status.
  • The reservation is cancelled. Cancelled reservations don't show status buttons.

Act on a whole timeslot

Open the menu on a timeslot's header for these:

  • Send Message to All...: message the timeslot's guests. See Message guests from the Manifest.
  • Print Manifest...: print the timeslot. See Print the Manifest.
  • Cancel All on Timeslot...: cancel every reservation on it, with the choice to let guests rebook and to notify them. It's permanent, and refunds aren't automatic. It's turned off when the timeslot has no guests or its start time has passed. See Canceling trips from the Manifest.
  • Change Timeslot Status...: set it to Open, Open Unrestricted, Open Offline Only, or Closed. See Opening & closing timeslots.

Cancelling needs the Change existing trips permission. Changing a timeslot's status needs Manage availabilities on experiences.

These timeslot actions are hidden when several activities are merged at one start time.

Act on a whole day

The top bar has Cancel all for entire day, for closures. It shows only for people with the Change existing trips permission, and not on a phone.

What you can't do

  • Select several reservations and apply an action to all of them.
  • Mark waivers signed for a whole timeslot at once. See Waivers on the Manifest.
  • Move or rebook bookings from the Manifest. Rescheduling happens on the trip.
  • Set a timeslot to Cancelled from the status window. Use Cancel All on Timeslot... instead.

Examples

  • Check in a family of six: select Checked In in the Actions column for their reservation.
  • Mark a no-show party: select No Show on their row, and every guest is marked at once.
  • Close a full boat early: open the timeslot menu and choose Change Timeslot Status..., then Closed.
  • Call off the 4:00 trip for weather: use Cancel All on Timeslot... and notify guests in the same step.

Frequently asked questions

Can I select several bookings and check them all in?

No. The Manifest has no multi-select. You check in a whole reservation with one button, or work down the list.

Does the status button change every guest on the reservation?

Yes. The button in the Actions column sets every guest on that reservation to the status you pick. Use the drawer to set a single guest.

Why can't I check a guest in?

Common causes are a missing reseller voucher, a balance-due confirmation waiting, a cancelled reservation, or missing permission.

Why are the timeslot actions missing?

They're hidden when several activities share one start time, and some are turned off for past or empty timeslots.

What permission changes booking status?

Edit bookings on trips.

Can I cancel from my phone?

The cancel buttons on the Manifest don't appear on a phone. Use a computer for cancellations.
