Skip the balance-due popup at check-in

If you collect balances after the trip, turn off the balance-due popup so check-in isn't interrupted for every guest who still owes money.

By default, TripWorks shows an Outstanding Balance popup when a staff member checks in a guest who hasn't fully paid, whether they check in from the Actions column on the Manifest or from inside the booking. That's a helpful prompt if you collect the remaining balance at the front desk. But if your model collects balances after the trip, that popup interrupts check-in on every guest — so you can turn it off.

When to turn it off

Turn this on if you collect the remaining balance after the experience, not at check-in. Common cases:

  • Tours where the final price depends on actual usage (fuel, time, mileage).
  • Activities that collect gratuity or upsells at the end.
  • Reseller or partner bookings where you collect from the partner, not the guest.

If your staff take balance payments at the desk during check-in, leave it off — the popup is useful there.

How to turn it off

  1. Go to Setup Company & policies General.
  2. On the General tab, find Location & hours.
  3. Check Skip balance-due popup during check-in.
  4. Select Save.

Check-in will now proceed normally even when a balance is owed, from the Manifest and from inside a booking. You can still see outstanding balances on the Manifest by adding the balance column.

Frequently asked questions

Does this write off the balance?

No. It only hides the prompt during check-in. The balance is still owed and still visible on the trip and in your reports.

What does the popup look like when it's on?

An Outstanding Balance window names the booking and the amount due. Accept Payment opens the booking's Payments tab, Skip, Check In Anyway checks the guest in, and Close leaves them as they were. It appears from the Manifest Actions column and from Check In inside a booking. With this setting on, none of those show it. See Checking in guests.

Is this account-wide?

Yes. The setting applies at the account level under Company Settings.
