If a booking was made under the wrong reseller, or the wrong agent, you can fix it from the trip. Changing the reseller recalculates commission and pricing. Changing only the agent doesn't change any money.

Before you begin. Editing the reseller or agent requires the Change existing trips permission, and the reseller list also needs View affiliates and partners. Both come with the built-in Owner group, or any custom permission group that includes them. If you see "Failed to load resellers", you don't have the second one yet, so ask an account admin to grant it to you.

Change the reseller

  1. Open the trip.
  2. In the booking summary, select the pencil icon next to the reseller name.
  3. In Edit Reseller & Agent, choose a different reseller under Select Reseller.
  4. If you're prompted, choose an agent under Select Agent.
  5. Select Save.

The list shows your private partners. Once you save: - The trip is recorded as a Reseller booking under the new reseller. - Commission, the Retail or Wholesale pricing choice, and taxes are recalculated using the new reseller's settings, so the trip total can change. - No new payment is created. If the trip is waiting for an invoice payment, the amount owed is updated to the new total. - The agent selection resets.

Change only the agent

  1. Select the pencil icon next to the agent's name.
  2. Choose a different agent under Select Agent.
  3. Select Save.

This changes nothing about pricing or commission. You can do it after a payment or an invoice.

When the reseller can't be changed

Once a payment has been applied to the trip, or the trip is on an invoice, the reseller field is locked. You'll see: "You cannot update the reseller after a payment has been applied to this booking."

  • Trips for a reseller set to Auto-Apply a payment at the time of booking already have a payment, so their reseller is locked from the start.
  • The agent can still be changed.

If you need to move a locked trip to another reseller, cancel it and rebook it under the right one.

Examples

  • A hotel desk booked under the wrong partner. Open the trip, select the pencil next to the reseller, and pick the right one before any payment is applied.
  • The wrong agent got credit. Change only the agent. It's safe even on an invoiced trip.
  • A trip for an invoiced reseller needs a new reseller. The reseller is locked, so cancel and rebook.

Frequently asked questions

Why is the reseller field greyed out?

A payment has already been applied to the trip, or it's on an invoice. The reseller can't be changed after that, but you can still change the agent.

Will changing the reseller change the price?

It can. TripWorks recalculates commission, the Retail or Wholesale setting, and taxes from the new reseller's settings. With Wholesale, the commission comes out of the trip total.

Does changing the agent affect commission?

No. Only the reseller drives commission and pricing. The agent change is safe at any time.

Why don't I see all my resellers in the list?

The list shows your private partners. OTAs aren't offered there.
