Some bookings come with paperwork that doesn't fit anywhere else: a signed liability waiver from a third party, a photo from check-in, a completed rental agreement, a certification a guest emailed you. Instead of tracking that down in your inbox later, attach it directly to the trip.

Upload a document
- Open the trip and select the Documents tab (the tab shows a badge with the current attachment count).
- Drag files into the drop zone, or select Browse to pick them from your computer.
- You can select multiple files at once — each is validated and uploaded on its own.
Accepted file types are JPG, JPEG, PNG, HEIC, HEIF, PDF, and DOCX, up to 50 MB per file. A file outside those types or over the size limit is rejected with an error instead of uploading.
Uploaded files are grouped automatically into Signed Forms & PDFs, Photos, and Documents, so a full trip folder stays easy to scan.
Who can see attached documents
Trip documents are a staff tool — guests don't see them anywhere, including the customer portal and confirmation emails. On your team's side:
- Anyone with the Change existing trips permission can upload and delete documents.
- Anyone with View Trips access can open the Documents tab and download files, even without edit access.
Files aren't stored behind a permanent public link. Each download is served through a temporary link that expires after an hour, so an old link can't be reused later.
Frequently asked questions
Can guests upload or see documents on their trip?
No. This is an internal tool for your team. Guests never see the Documents tab, and attached files aren't included in confirmation, reminder, or any other guest-facing email.
What file types and sizes are supported?
JPG, JPEG, PNG, HEIC, HEIF, PDF, and DOCX, up to 50 MB per file. You can upload several files at once.
Can staff with view-only access see attached documents?
Yes. Viewing and downloading only requires the View Trips permission. Uploading and deleting require Change existing trips.
Is this the same as attaching a file to an email or SMS template?
No — those are separate features. Trip documents live on the trip itself for your team's reference. Attachments on a message template go out to the guest as part of that email. See Creating a message template for that.
