Manual Messaging

Learn how to send messages (email & SMS) from your dashboard to individual travelers, travelers on the same trip, and travelers booked for the same experience.

The TripWorks platform gives you the ability to send email and SMS text messages to your customers without ever having to open a separate messaging application. As a logged in user, you can:

  • Set up Automated Messaging‍ (a feature that sends messages to your customers automatically, at preset times, based on predefined triggers)
  • Send messages manually (meaning choose one or more message recipients and physically select Send when you are ready to send the message)

This article illustrates the latter option.

Whether you are sending a message manually or via automated messaging, you will be prompted to utilize the message templates that live within your Message Template Library. If the message template you want to send does not yet exist, you will need to Create a New Message Template‍. If you want to review, edit, or enable/disable SMS text messaging for an existing message template, visit Edit an Existing Message Template‍. 


Message One or More Travelers from a Single Trip

Sometimes you may want to send an email (and/or text message) to a single traveler or multiple travelers from a single trip. For example, maybe after seeing that Brad Pitt started to make a reservation but then exited the booking widget before completing his purchase (in other words, he abandoned cart), you decide to send him a nice email nudge in hopes of prompting him to complete the reservation.

  1. From the Trip View, choose the Email icon located under the name and photo of the trip's point of contact.

  2. Select a message template from the Choose a template to send drop-down menu. If the template you want to send does not yet exist, Create a New Message Template‍, then return to this screen and select your new template.

  3. By default, your message will be sent to the email address associated with the trip's point of contact. To manually change this, select the Override To Email Address checkbox and fill in the text field with the desired email address.

  4. If you would like to CC other recipients, choose the filter icon, then select the checkboxes under Advanced Options that reflect your CC needs for this email. Please note that:
    1. You can only CC other guests on the trip if those travelers' email addresses are included in the reservation.
    2. The text field underneath the Send a CC to checkbox auto-populates with the email address of the logged in user. However, you can manually input a different email address once the checkbox is selected.  

  5. If desired, add a personalized note to the message. The email preview will reflect your changes in real time.

  6. When you are ready to send the email, select Send.


Message Travelers Across Multiple Trips

Often, it can be beneficial to send a bulk email to travelers booked for the same experience, regardless of which trip they belong to. For instance, maybe you want to notify everyone on your 7:00 AM Morning Tour — Sarah McLachlan, Brad Pitt, Joan Jett, and the other travelers booked on their trips — that the experience has been canceled due to inclement weather.


  1. From the Manifest View, select the Ellipses icon then choose Send Message to All Guests.

  2. Select a message template from the Choose a template to send drop-down menu. If the template you want to send does not yet exist, Create a New Message Template‍, then return to this screen and select your new template.

  3. If you would like to narrow down the travelers who will receive this email based on specific criteria, select the filter icon, then select the checkboxes that reflect your needs for this email. Some helpful hints:
    1. When you select a checkbox under the Filter for recipients who section, the travelers who meet those criteria will be emailed as long as their email addresses have been provided.
    2. The CC all Guests checkbox will email all travelers whose email addresses have been provided. If this checkbox is not selected, the email will by default send only to the point of contact of each trip booked for this experience at this date and time.

  4. If desired, add a personalized note to the message. The email preview will reflect your changes in real time.

  5. When you are ready to send the message, select Send.
