How guides see their schedule

Guides can see the trips they're assigned to by signing in to TripWorks, subscribing to a personal calendar (iCal) feed, and getting in-app and email alerts.

Once a guide is assigned to trips, there are three ways they can keep track of where they need to be.

1. Sign in to TripWorks

A guide is a team member, so once they accept their invitation and sign in, they can view the calendar and manifest to see the trips they're on, either on a computer or in the TripWorks mobile app for a quick look from the field. What they can see and do is governed by their permission group, set on their team-member record.

2. Subscribe to a personal calendar feed

Each guide has a personal iCal feed they can subscribe to from their own calendar app (Google Calendar, Apple Calendar, Outlook). Once subscribed, their assigned trips show up alongside the rest of their life, and the feed keeps itself up to date. The subscribe link lives on Setup Integrations (the iCal section), and it's also included in the guide's assignment emails as a "Subscribe to your schedule" link.

The feed is tied to guide status. If you turn off a person's guide status, their schedule feed stops working.

3. Alerts as things change

Guides don't have to keep checking. Guide alerts notify them by email, SMS, or in-app whenever they're assigned or unassigned, or when a trip they're on is reserved, rescheduled, rebooked, or cancelled.

Frequently asked questions

Can a guide add their trips to their own calendar app?

Yes. They subscribe to their personal iCal feed (link on Setup → Integrations, and in their assignment emails), and their trips appear in Google, Apple, or Outlook calendars automatically.

Do guides need a special login?

No. A guide signs in as a team member. Their access is controlled by their permission group on their team-member record.

What happens to the feed if someone stops being a guide?

It stops working. The personal schedule feed is tied to active guide status.

Can a guide see only their own trips?

Their personal calendar feed contains only the trips they're assigned to, so that's the cleanest "my schedule" view for a guide. Inside TripWorks the calendar shows the whole operation, filtered by what their permission group allows, rather than automatically narrowing to one person. A guide can filter the calendar to themselves and save that as a view.

How quickly does the calendar feed update?

The feed is live, so a change you make shows up the next time the guide's calendar app refreshes its subscription. Refresh intervals are set by the calendar app, not by TripWorks, and are typically measured in hours. For anything time-critical, rely on alerts rather than the feed.
