Assign a guide to a timeslot from the calendar so your team knows who's running each trip. It's an internal label — it never affects availability, capacity, or the guest.

Once someone is set up as a guide, you can assign them to the specific timeslots they're running so the whole team knows who's on each trip.

Assigning a guide is a scheduling label, not an availability control. It does not change ticket availability, capacity, or pricing, and it's internal only — guides never appear on customer-facing tickets or confirmation emails.

Assign from the calendar

  1. Open the Calendar and set Group by → Guides.
  2. Find the timeslot you want to staff.
  3. Select Add on that timeslot and choose the guide (or guides) to assign.

The guide's name and color now show on that timeslot across the calendar and manifest. You can assign more than one guide to a timeslot when a trip needs a lead and support.

Double-booking warnings

If you try to assign a guide who's already on another trip at the same time, TripWorks warns you about the conflict so you don't accidentally double-book someone. You can override the warning if you really do want them on both.

Frequently asked questions

Does assigning a guide change availability?

No. It's purely an internal label for who's running the trip — availability, capacity, and pricing are unaffected.

Can guests see the assigned guide?

No. Guide assignments are internal only — they appear on your calendar and manifest, never on customer tickets or emails.

Can I put two guides on one trip?

Yes. Assign as many guides as a timeslot needs — for example a lead and a support guide.
