How guides see their schedule

Guides can see the trips they're assigned to by signing in to TripWorks, subscribing to a personal calendar (iCal) feed, and getting in-app and email alerts.

Once a guide is assigned to trips, there are three ways they can keep track of where they need to be.

1. Sign in to TripWorks

A guide is a team member, so once they accept their invitation and sign in, they can view the calendar and manifest to see the trips they're on — on a computer or in the TripWorks mobile app for a quick look from the field. What they can see and do is governed by their permission group, set on their team-member record. In the built-in Guide group, a guide sees only the trips they're assigned to and lands on the manifest when they sign in. A Guide Manager sees every trip. See Limit what a guide can see.

2. Subscribe to a personal calendar feed

Each guide can subscribe to a personal calendar feed from their own calendar app (Google Calendar, Apple Calendar, Outlook). Once subscribed, their assigned trips show up alongside the rest of their life, and the feed keeps itself up to date. A guide opens their user menu, chooses My schedule feed, and adds the link to their calendar with one tap. The guide's assignment emails also include a "Subscribe to your schedule" link. You can build a feed for any guide yourself, with pickup locations, add-ons and notes in each event. See Calendar feeds.

The "Subscribe to your schedule" link in assignment emails is tied to guide status. If you turn off a person's guide status, that link stops working, and My schedule feed disappears from their user menu.

3. Alerts as things change

Guides don't have to keep checking — guide alerts notify them by email, SMS, or in-app whenever they're assigned or unassigned, or when a trip they're on is reserved, rescheduled, rebooked, or cancelled.

Share or print a guide's schedule

You can also hand a guide their schedule yourself. On the Guides tab of the Calendar, open the guide's menu in the sidebar.

  • Share iCal link opens the Subscribe drawer for that guide. Copy the link, or use the Apple Calendar, Google Calendar and Outlook buttons to add it in one click. Email link to and Text link to open your email or messages app with the link ready to send to the guide's address or number. After the guide adds it, new assignments appear in their calendar on their own, on a phone or a watch. The Include booking details checkbox controls whether each event shows the guest name and headcount, and Customize this feed has every other option. See Calendar feeds.
  • Print schedule prints their day or week, with optional check-in boxes for each trip. Guest details appear only for people who can view bookings.

Share a guide's schedule as an iCal link for Apple, Google, or Outlook calendars, or print it with check-in boxes.

Frequently asked questions

Can a guide add their trips to their own calendar app?

Yes. They open My schedule feed in their user menu and add it to Google, Apple or Outlook in one tap, and their trips appear in their calendar automatically. The assignment emails also carry a "Subscribe to your schedule" link, and you can send a guide their link yourself from the Guides view with Share iCal link.

Do guides need a special login?

No — a guide signs in as a team member. Their access is controlled by their permission group on their team-member record. Add them to the built-in Guide group to show them only their own trips.

What happens to the feed if someone stops being a guide?

It stops working. The personal schedule feed is tied to active guide status.
