Troubleshooting seat maps

Fix common seat map problems, from a greyed-out Delete option to seat counts that don't match capacity and swapping an activity's seat map.

Common issues you'll run into while setting up or managing seat maps, and what's actually happening behind each one.

Before you begin. Editing or archiving a seat map requires the Setup activities permission; changing seat assignments requires Edit trips. Both come with the built-in Owner group, or any custom permission group that includes them.

"Delete" is greyed out on my seat map

This is expected, not a bug. You can't delete a seat map that's either:

  • Published: publishing locks a seat map for use; delete it and you'd break every activity connected to it
  • Been used: it has at least one seat assignment on it, even a past one, so deleting it would break historical bookings and printed tickets

Use Archive instead. It removes the seat map from your active list without deleting anything it's connected to. If you need to reuse the layout with changes, Clone it into a new draft first.

My seat map's seat count doesn't match my activity's ticket capacity

Seat maps and activity capacity are two independent settings, and nothing checks them against each other automatically. If your seat map has fewer seats than your activity's ticket capacity allows, you can end up selling more tickets than you have physical seats for, and staff won't get a warning when that happens.

After connecting or updating a seat map, check your activity's capacity settings and adjust them to match the seat count you actually have. See Setting activity capacity limits.

I changed my activity's seat map, and now seating looks wrong

Swapping the seat map connected to an activity doesn't automatically move or clear seat assignments already made under the old map for upcoming trips — those assignments can end up pointing at a table or seat that no longer exists on the new layout. If you need to switch an activity to a different seat map:

  1. Finish or clear seat assignments for any trips already scheduled under the old map
  2. Switch the activity to the new seat map
  3. Re-open the Seat Assignment view for those trips and reassign seats under the new layout

A seat map I need to edit is published and locked

Publishing a seat map locks its layout permanently. There's no unpublish option. To make changes:

  1. Open the published seat map and select Clone
  2. Edit the cloned draft (zones, tables, seats, labels)
  3. Reconnect the clone to your activity. Cloning doesn't carry over the original's activity connections, so open the clone, select the pencil icon next to its name, and re-add the activities under Select Activities
  4. Publish the clone once it's ready, then archive the old one if you no longer need it

Seats for an OTA booking didn't get assigned

Seat maps don't auto-seat anyone. Every booking, whether storefront, manually entered, or from an OTA/reseller (Viator, GetYourGuide, and similar), is assigned to a seat individually from the Manifest's Seats view. If a guest later cancels or rebooks through an OTA, their seat is released automatically.

FAQ

Can support move or delete a seat map for me?
No. Seat map management (clone, archive, delete) is done from your account by a user with the Setup activities permission. If Delete and Archive are both unavailable, double-check you're not missing that permission rather than assuming the seat map is stuck.
Will archiving a seat map cancel existing bookings on it?
No. Archiving only removes the seat map from your active list for new connections. It doesn't touch existing bookings, seat assignments, or trips already scheduled against it.
Can I bulk-assign or auto-assign a whole trip's seats at once?
Not currently. Every booking is assigned to a seat one at a time from the Manifest's Seats view. See [Assigning seats from the manifest](https://help.tripworks.com/seat-maps/assigning-seats-from-the-manifest).
