Why can't I delete certain items?

Some items can't be deleted — they're in use (deleting breaks reports and history) or built-in. The common cases, and what to do instead.

If TripWorks won't let you delete something, it's almost always for one of two reasons:

  • It's in use (or has been). Deleting it would break the records that depend on it — reports, sales history, audit logs. TripWorks protects your data integrity by keeping it.
  • It's built in. Some items are part of the platform by default and stay, even if you're not using them.

The good news: there's almost always a cleaner alternative that gets you the same result without breaking your history.

Common cases and what to do instead

  • A user who has done anything in the account — you can't delete them (their actions are part of your history). Instead, disable their login so they can't sign in, or reduce their permissions.
  • An activity that's ever been booked — can't be deleted. Set its status to Archived to retire it from view while keeping its records.
  • A booking with a payment on it — can't be deleted. Cancel it instead (see reschedule, unschedule, or cancel a booking); the record and payment history stay intact.
  • A timeslot that's been booked — can't be deleted. Close it so it takes no new bookings; or move its travelers to another timeslot first, then remove the empty one.
  • A message or gift-card template that's been used — can't be deleted, since past sends/issues reference it. Leave it in place (edit it instead if you need changes).
  • A default (global) permission group — built into the platform and can't be deleted. Move users to a different group instead.

This isn't every case — but the pattern holds: if it's been used, retire it (archive/close/disable) rather than delete it. If you're stuck on something not listed here, contact TripWorks support.

Frequently asked questions

Why won't TripWorks let me delete this?

Either it's in use / has been used (deleting would break reports, history, or audit logs), or it's a built-in default. In both cases TripWorks keeps it to protect your data integrity.

How do I get rid of a user I can't delete?

Disable their login so they can't sign in (and/or reduce their permissions). Their past actions stay in your history, which is why the account itself can't be deleted.

How do I remove an activity that's been booked?

Set its status to Archived. That retires it from your working views while preserving the bookings and reporting tied to it.

Can I delete a booking?

Not once a payment has been applied. Cancel the booking instead — its record and payment history are kept, which is what lets your reports stay accurate.

How do I remove a timeslot I can't delete?

Close it so it accepts no new bookings. If you need it gone entirely, move any booked travelers to another timeslot first, then delete the now-empty one.

Why can't I delete a message or gift-card template?

Because past messages or gift cards reference it — deleting would break those records. Leave it in place, or edit it if you need to change what it says going forward.
