Using the Timeslot Editor

This tool centralizes your scheduling, giving you full visibility across all timeslots so you can optimize operations and avoid overbooking.

The Timeslot Editor provides a powerful calendar view for managing your timeslots across multiple days. Use the View Mode options to quickly see capacity, availability, booking levels, and status for all your experiences at a glance.

How to Access the Timeslot Editor

Note: The Timeslot Editor is a beta feature that must be enabled first. See How to Enable Beta Features for instructions.
  1. Enable the Timeslot Editor beta feature (if you haven't already)
  2. Navigate to Calendar from the main navigation
  3. Select the Pencil Icon to the right of the Day View
  4. Use the View Mode toggle buttons to switch between different views 

View Mode Options

The Timeslot Editor includes four View Mode options, accessible via the toggle buttons at the top of the calendar:

View Mode What It Shows Best Used For
Capacity The total number of spots available for each timeslot (maximum you can sell) Reviewing your overall inventory setup
Availability The remaining spots after bookings and holds (what's left to sell) Seeing real-time booking availability
Heatmap Color-coded visualization of how full each timeslot is Quick visual scan of busy vs. open times
Status The operational status of each timeslot (Open, Closed, Cancelled) Managing which timeslots are bookable

Understanding Each View Mode

Capacity View

Displays the maximum number of spots that can be sold for each timeslot.

  • This number is set when you configure your activity or resources
  • Capacity stays the same regardless of how many bookings you have
  • Use this view to verify your inventory is set up correctly

Example: If you have 2 helicopters with 6 seats each, capacity shows 12.

Availability View

Displays the remaining spots that customers can still book.

  • Calculated as: Capacity - Booked - Holds
  • Updates in real-time as bookings are made
  • This reflects what customers see when booking online

Example: If capacity is 12 and 5 people have booked, availability shows 7.

Heatmap View

Provides a color-coded visual of booking levels across your calendar.

  • Lighter colors indicate more availability (less booked)
  • Darker colors indicate less availability (more booked)
  • Quickly identify your busiest and slowest times
  • Great for spotting patterns across the week
Tip: Use Heatmap view at the start of each week to see where you might need additional staff or resources.

Status View

Shows the operational status of each timeslot.

  • Open - Timeslot is available for booking
  • Closed - Timeslot is not accepting bookings
  • Cancelled - Timeslot has been cancelled

Use this view to quickly identify which timeslots need attention or have been closed due to weather, staffing, or other factors.

Filtering Your View

Use the filter options at the top of the calendar to narrow down what you see:

Filter Description
Activities Select specific experiences to display
Date Range Choose the week or custom date range
Days of Week Filter to show only specific days

Viewing Timeslot Details

Click on any timeslot to open the Details popup, which shows:

  • Timeslot Status - Open, Closed, or Cancelled
  • Ticket Type - The customer type for this availability
  • Capacity - Maximum spots
  • Booked - Number of confirmed bookings
  • Available - Remaining spots
  • Availability ID and Timeslot ID - For troubleshooting

From this popup, you can also click Run Diagnostic Report to see a detailed breakdown of how availability is calculated.

Bulk Selection

The Timeslot Editor supports selecting multiple timeslots at once:

  1. Click and drag to select multiple cells
  2. The bottom of the screen shows how many timeslots are selected
  3. Use Clear Selection to deselect all

Bulk selection allows you to make changes to multiple timeslots simultaneously, such as closing a range of timeslots or adjusting capacity.

Common Tasks

Check why a timeslot shows no availability

  1. Switch to Availability view
  2. Click on the timeslot showing 0
  3. Click Run Diagnostic Report to see what's using the capacity

Find your busiest times

  1. Switch to Heatmap view
  2. Look for the darkest colored cells
  3. These are your most booked timeslots

Verify capacity is set correctly

  1. Switch to Capacity view
  2. Scan across your timeslots to ensure the numbers match your expectations
  3. If a timeslot shows incorrect capacity, you may need to adjust your experience settings or set a capacity override
