Customize your calendar display to focus on what matters most for your operation. Control what information appears, how activities are organized, and which timeslots display based on staffing, resources, or availability.
Calendar View Types
Choose the view that matches your planning needs:
- Month View: High-level overview of your entire schedule. Best for long-term planning and identifying booking patterns.
- Week View: Balanced detail showing your weekly operations. Ideal for day-to-day scheduling and resource management.
- Day View: Most granular view with complete timeslot details. Perfect for managing operations on the day of departure.
Switch between views using the Day, Week, or Month options in the upper right corner of your calendar.
Opening Customization Options
All calendar customization happens through one central menu:
- Navigate to the Calendar tab
- Select Customize View in the upper left corner

- Adjust filters and display options
- Select Save to preserve your settings

Basic Calendar Filters
Display Rows By
Choose how activities are organized in Week View:
- By Activity (Default): Each row represents an individual activity or tour. This is the standard view most operators use for daily scheduling.

By Resource Group: Each row represents a resource group (bikes, vehicles, vessels, etc.) instead of individual activities. This view displays equipment usage across all activities at once.

What You'll See:
- Left number: Resources currently in use
- Right number: Total resources in that group
- Example: If you have 10 bikes and 5 are booked, the row displays 5 / 10

When to Use This View:
- Equipment-heavy operations needing quick inventory checks
- Managing fleet availability across multiple activities
- Day-of logistics and capacity verification
- Tracking gear usage without clicking into individual bookings

What You'll See:

By Time: Each row represents a time slot (8:00 AM, 9:00 AM, etc.) rather than an activity. Activities appear as cards within each time row. This gives you a clear view of everything happening at each departure time across all your activities.
- Week View: Rows are grouped by time slot with 7 day columns. Each card shows a status dot (green = open, red = sold out), experience name, availability badge, booked/capacity counts, resource tags, and guide tags. Clicking any card takes you directly to the timeslot detail.
- Month View: Compact pills per day cell showing status dot, time, experience name, and availability. Click any pill to expand it and see booked/capacity counts, resource tags, and guide tags. A "+X more" link appears when a day has more slots than can fit — click it to expand. Use the Expand All (Month) checkbox in the sidebar to expand every pill at once.
- Day View: Agenda-style list grouped by time. Each row shows the experience color, time, experience name, resources, guides, status, and capacity. Clicking a row takes you to the timeslot detail.

When to Use This View:
- Operations running multiple concurrent activities at the same departure times
- Checking what's happening across all experiences at a specific hour
- Operators coming from platforms that default to time-based calendar layouts
- Dispatching guides or resources across overlapping timeslots
Use the filters on the left side to show or hide specific resource groups.

Timeslot Display Options
Control what information appears on each individual timeslot card:
Availability Count
Toggle the availability count display on or off.
- On: Shows remaining capacity (e.g., "30 avail")
- Off: Hides the availability indicator
Turn this off when availability isn't your primary focus or to simplify the calendar display.
Resources
Choose whether assigned resources appear on timeslots.
- On: Shows equipment like boats, bikes, or vehicles assigned to each timeslot
- Off: Hides resource assignments from the calendar view
Disable this when focusing exclusively on staffing or when resources aren't relevant to your current task.
Guides
Display guide assignments directly on the calendar.
- Single guide: Full name appears on the timeslot
- Multiple guides: Hover over the timeslot to see all assigned guides
This provides an at-a-glance view of staffing across your entire schedule.

Guide Assignment Filtering
Focus on specific staffing needs using the guide assignment filter:
Show Timeslots Without Guides
When enabled: Calendar displays only timeslots that do not have a guide assigned.
Use this to:
- Identify which activities need staffing
- Plan your week by seeing exactly what requires coverage
- Prioritize guide assignment for upcoming departures
Show All Timeslots
When disabled: Calendar displays all timeslots regardless of guide assignment status.
Use this to:
- Review complete schedules with guide assignments visible
- Verify appropriate coverage across your operation
- See who's working when throughout the week

Sidebar Filters (All Views)
When using the By Time view (or any view), the sidebar offers additional filters to fine-tune your display:
- Show Resources — toggle resource tags on or off
- Show Guide Assignments — toggle guide tags on or off
- Show Availability Count — toggle availability badges and booking counts
- Hide Empty Timeslots — filter out time slots with no bookings
- Hide Full Timeslots — filter out sold-out slots
- Expand All (Month) — expand all month pills to show full detail (Month View only)
Use the Save / Reset buttons to persist or clear your view configuration.
Advanced Options (Day View)
Hide Empty
Removes activities with no bookings from your calendar. Use this to focus exclusively on scheduled operations and reduce visual clutter.
Hide Full/Unavail
Filters out fully booked or unavailable tours. Helps you quickly identify activities with remaining capacity.
Group Timeslots
When an activity has more than five timeslots, the system automatically groups them to keep your calendar organized. Disable this option to see all timeslots listed individually instead.
This setting is particularly useful in Day View when you need to see every departure time without clicking to expand grouped timeslots.

Saving Custom Views
After configuring your filters and display options:
- Select Save in the Customize View menu
- Name your view (e.g., "Weekly Staffing" or "Equipment Tracking")
- Optionally set it as your default view
Saved views appear at the top of your calendar, allowing you to quickly toggle between different configurations.
Common Use Cases
Weekly Staffing Review
Enable guide display and filter to show only unassigned timeslots. Quickly identify gaps, assign guides, then switch to the full view to verify complete coverage.
Equipment Capacity Planning
Switch to "Display Rows By: Resource Group" in Week View. This shows equipment usage across all activities, making it easy to spot capacity constraints or underutilized resources.
Time-Based Operations View
Switch to "Display Rows By: By Time" in Week View. This organizes your entire schedule by departure time, so you can see at a glance what's happening at 9:00 AM, 10:00 AM, etc. across all activities. Especially useful if you run multiple concurrent experiences and need to coordinate guides and resources across overlapping slots.
Daily Operations Focus
Use Day View with timeslot grouping disabled, hide empty activities, and show guides and resources. This gives you complete operational visibility for the current day.
Sales and Availability
Hide full activities, disable resource and guide display, and keep availability counts visible. This configuration helps identify which tours need promotional attention.
Tips for Efficient Calendar Management
Create Multiple Saved Views
Build views for different roles and tasks: one for operations managers focused on staffing, another for equipment coordinators tracking resources, and a third for sales teams monitoring availability.
Combine Filters Strategically
Use multiple display options together. Show guides but hide resources when staffing is your priority, or show resources but hide guides when coordinating equipment.
Adjust Throughout the Week
Your preferences persist, but toggle options as priorities shift. Filter for unassigned guides early in the week, then switch to full view as departure dates approach.
