Additional guests get their own profile
Every ticket on a booking is tied to a customer profile. The lead guest always has one. An additional guest becomes their own customer as soon as their own details are entered on their ticket, for example when your team adds them to the booking or when the guest signs a waiver. Until then, their ticket uses the lead guest's details.
Once an additional guest has their own profile, they're treated like any other customer:
- Customer list: they appear under More → Customers. The Lead column shows who was the lead traveler on a booking, and the Lead filter lets you show leads only, non-leads only, or everyone.
- Exports: they're included when you export the customer list, and in the Guest Contacts report when they gave an email or phone number.
- Follow-up messages: a follow-up set to All guests goes to each guest on the booking who has their own profile. One set to Lead guest only goes to the lead. See Follow-up messages.
- Mailchimp: if you've connected Mailchimp, any profile with a first name, last name, and email is added to your audience, additional guests included.
- Marketing opt-in: each profile has its own Marketing Opt-In checkbox, so an additional guest's choice is recorded separately from the lead's.
Merge duplicate profiles
Merging happens from the customer list, where you select the profiles and merge them in bulk. It requires the Merge duplicate customers permission.
Frequently asked questions
Are additional guests saved as individual customers for future follow-ups?
Yes, once their own details are on their ticket. When an additional guest's name and contact details are entered on their ticket in the booking, or captured when they sign a waiver, TripWorks saves them as their own customer profile. They then appear in your customer list and exports, receive follow-ups set to All guests, and sync to Mailchimp if it's connected and they have a first name, last name, and email. A guest whose ticket has no details of their own shares the lead guest's profile, so they don't get a separate record.
Can I market to additional guests, not just the person who booked?
Yes, if their contact details were captured. Additional guests with their own profile are in the customer list and the Guest Contacts report, which you can download for your mailing list, and they sync to Mailchimp like any other customer. Check each profile's Marketing Opt-In before you send them marketing.
Can I export my guest list?
Yes, with the Guest Contacts report. See View your Guest Contacts report.
