Setting Activity Capacity Limits

Set a cap on how many customers can book an activity based on specific criteria.

Once you have set up Booking Availabilities‍ for an activity, there are a number of capacity settings you can choose from. These settings help you control both booking volume and resource considerations as customers book activities from your catalog. For instance, if you want to establish settings that tell the platform, "Don't allow more than 20 travelers to book this experience at once" or "We only have 10 life jackets in stock; stop accepting new bookings once they have all been assigned," this is the place to define those settings.

Capacity Setting

Purpose 

Useful When…

Unlimited Accept a large number of bookings without triggering any kind of volume- or resource-based cutoff.
  • There is no cap on the number of attendees you want at your event (e.g. amusement parks).
  • You do not need to assign resources to customers for the activity.
Capped Per Ticket Type, Per Timeslot Prevent further bookings on a timeslot once the specified number of tickets has been purchased for each ticket type.
  • Your team, venue, or means of transporting travelers has specific limits on the types of attendees it can handle (e.g. "no more than 5 children").
  • You do not need to assign resources to customers for the activity.
Capped Per Timeslot Define a maximum number of tickets, regardless of ticket type, that can be purchased for each timeslot.
  • Your team, venue, or means of transporting travelers is limited on the total number of people it can host (e.g. "no more than 50 people").
  • You do not need to assign resources to customers for the activity.
By Resources‍  Ensure any equipment, ground transportation, or other resources used for the activity are appropriately assigned and returned to your team by the designated cutoff time.
  • You need to assign resources for the activity (e.g. "each traveler gets one life jacket and one bus seat").
  • You want to track how many of your resources are in use at any given time.
  • You want to ensure that your resources will not be overbooked or in use past a specified cutoff time.
By Resources-Many Similar to the By Resources setting, except that this option allows you to create specific resource pairing rules.
  • You need to assign resources for the activity.
  • You want to track resource usages. 
  • You want to ensure that your resources will not be overbooked or in use past a specified cutoff time.
  • Your team needs to pair resources in specific ways (e.g. When a group of 15-20 books our activity, assign them two rooms – either Rooms A and B or C and D, but never Rooms A and C or B and D).

 

 

How to Set Experience Capacity Limits

  • Select More > Activity Catalog from the toolbar

 

  • Choose the activity for which you want to adjust the capacity limits
  • Select Capacity from the sidebar menu

 

  • Choose the desired capacity setting and fill out any corresponding fields. Reference the above-listed articles as needed for details and examples of each setting
  • If desired, select the Allow Team Members to Overbook checkbox. Selecting this checkbox allows members of your team to book an oversold experience while preventing e-commerce customers from doing so

 

  • Select the Save button

 

 

Beware of Booking Restrictions

If during checkout your team and/or customers are unable to select the maximum number of tickets defined by your capacity settings, there may be a contradictory booking restriction in place. To learn more, visit Why can't I add more tickets to a booking during checkout?‍
