What Are Required Fields?

Understand which guest fields are always required in TripWorks, and how to manage optional data collection for additional guests during checkout.

Required fields refer to the guest information TripWorks always collects to successfully complete a booking. These fields are essential for ensuring customers receive confirmations and for operators to manage trip logistics effectively.

 

Lead Guest Information

At minimum, every booking must include the lead guest’s:

  • First Name
  • Last Name
  • Email Address
  • Phone Number

We require this information so TripWorks can automatically send confirmation emails, text messages, and other important communication about the booking. These fields cannot be removed or made optional—they are always required.

 

Additional Guest Information (Optional or Required)

If a lead guest is booking for multiple people, you can configure whether you want to collect the same information (name, email, phone number) for each additional guest.

These guest fields can be set as:

  • Hidden – The field won’t appear during booking.
  • Optional – Displayed, but not required to proceed with checkout.
  • Required – Must be completed for each guest before the booking can be finalized.

You can set these visibility rules separately for online and offline bookings, giving you full flexibility.

 

Alternative Data Collection: Waivers

If you prefer not to collect guest information during checkout, you can still gather it later using TripWorks’ built-in waivers. Each guest can be prompted to provide their contact information and signature at a later stage.
