The questions that fill a front-desk shift are short ones: Who's booked at 10? Has the Rivera party signed their waivers? Which guide is on the afternoon departure? Your AI assistant answers them from your live TripWorks data, and with write access it can also take care of small jobs like marking a waiver signed or adding a trip note, after showing you a preview.

Look things up
Reading never changes anything, so start here.
- Who's booked on a departure. Your assistant reads the manifest and lists each party with check-in and waiver status.
- A single booking. Search by confirmation code, guest name, email, or phone number, then ask for the contact details, party size, balance, or notes.
- Who is assigned. Ask which guide, boat, or vehicle is on a given day. It reads the assignments from the manifest. Your account's own words for these (guide, boat, vehicle) work in your questions.
- Gift cards and codes. Search for a gift card or voucher code and see what it covers.
Make small changes, with a preview
With write access, your assistant can handle quick desk tasks. Every change starts as a preview that shows what will happen, and nothing is saved until you confirm.
- Check guests in or change a booking's status. Mark a guest checked in, a no-show, or any other status your account uses.
- Mark waivers signed. Record a waiver signed on paper at the counter.
- Add a note to a trip. Log a dietary need, a pickup change, or anything your crew should see.
- Group bookings on one order. Add a family's separate bookings to a single trip order so they're handled together.
Example requests
- Who's booked on tomorrow's 10:00 AM departure? Lists the parties with check-in and waiver status.
- Find the booking for confirmation code 4F7K2 and tell me the lead guest's phone number and any balance due. Opens the trip and gives you what you asked for.
- Which guests on tomorrow's departures haven't signed their waivers? Include their email. A chase list you can follow up on before they arrive.
- Which guide is on the 1:00 PM departure today? Reads who is assigned to that departure.
- Maya Lopez signed her waivers on paper at the desk for 4F7K2. Mark them all as signed. Shows a preview of the change and waits for your yes.
- Set booking 4F7K2 to no-show. Previews the status change before saving it.
- Add this to the notes on trip 4F7K2: vegetarian meals, hotel pickup at 8:15. Shows the note and waits for your go-ahead.
- Give me a morning briefing: today's departures, who's checked in, and anything that needs attention. A short summary of the day built from the manifest.
- Who changed the price of the sunset cruise yesterday? Reads the audit log and shows who changed it and when.
Give your assistant the confirmation code when you have it. It's the fastest and least ambiguous way to land on the right booking.
What your assistant can't do yet
Be clear about the edges so you don't lose time at the counter.
- It can't create, reschedule, or cancel bookings. Use the Sales screen or the manifest for those. Your assistant can look up what you need first.
- It can't take or refund payments. It can show you a balance, but it doesn't collect money.
- It doesn't open or close departures. Availability changes happen in TripWorks.
- Some recipes in the app are ahead of the tools. The Recipes library on the AI Assistants page includes prompts for tasks your assistant can't do yet. If a prompt fails, reword it as a lookup or use TripWorks directly.
Tips for the front desk
- Use read access for the counter. If a team member only needs to look things up, connect them with Read access only.
- Check previews carefully. A preview names the booking, guest, and change. Read it before you say yes.
- Mind your own permissions. A seasonal team member's assistant can only do what that person's permission group allows.
Frequently asked questions
Can my assistant check a guest in?
Yes, with write access. Ask it to set the booking's status to checked in, and it shows a preview first. You can also use the manifest, covered in The manifest view.
Can it mark a waiver signed?
Yes, with write access. Tell it which booking and guest signed on paper, and it marks the required waivers signed after you confirm. It can't send waivers to guests or sign for them. See Collecting guest waivers.
Will it change anything without asking me?
No. Every change starts as a preview and is saved only after you confirm. With Read access only, it can't make changes at all.
Can it overwrite a trip note someone else wrote?
It adds a new note to the trip. Only your own notes can be edited later.
Why can't my assistant see tomorrow's manifest?
Usually a permission. Reading the manifest requires View the daily manifest or access to the dashboard calendar. Ask an account admin to check your permission group.
Can it text or email guests?
No. It can give you a list with contact details so you can reach out yourself, and draft the message for you to send.
Does this work for museums and attractions, not just tours?
Yes. Timed-entry visits, tours, and rentals all appear on the manifest, so the same requests work for any of them.
