Setting Up Reseller Profiles

Discover how to create and customize reseller profiles to effectively manage and monitor sales activities within your TripWorks account.

Before you can accept and track bookings made by Resellers (OTAs & Private Partners), you must first create a profile for those resellers through your TripWorks account. This article provides guidance on setting up reseller profiles and defining your ideal settings for your partnered resellers.  
 

Step 1: Create the Reseller

  • Select More > Resellers from the toolbar
  • Choose New to pull up the list of resellers 
  • Choose the desired reseller from the menu. If you select the Private Partner option, a text field will appear so that you can type in the private partner's name. If you select a preexisting OTA, the same text field will appear pre-populated.

 


 

Step 2: Adjust Reseller Settings 

  • Open the reseller's profile you'd like to edit by selecting the partner from your Reseller list
  • Navigate to the Settings tab 
  • Use the provided sub-tabs (General, Rates, Experiences, Remittance, and Communication) to define your preferred settings for this reseller.

 

General 

Edit/adjust the name, physical address, accounting contact information, and tax information of the reseller. 

 
 

Rates

Wholesale/Discount Rate 

If you're selling activities at a wholesale or discounted rate, add the specified percentage here. This pricing model is commonly utilized for Online Travel Agencies (OTAs) like Viator and Expedia. 

 

Commission Rate 

If this reseller is entitled to receive a commission for facilitating sales, input the relevant commission rate. This method is commonly employed when issuing monthly commission payments to the reseller. 

 

Rate Sheets

This reseller will adhere to the standard pricing for your Experiences by default. However, if you wish to set up and implement special pricing for specific Experiences, you can do so. Check off one or more Experiences Rate Sheets for this particular reseller accordingly. Remember to select Update to save your changes. 

 
 

Experiences 

Select the Experiences that this reseller is authorized to sell. For partners connecting through API, like Get Your Guide and Viator, the chosen Experiences will synchronize in real-time. For agents accessing your Reseller Portal, only the selected Experiences will be visible in the Agent Portal. Remember to select Update to save your changes. 

 

 
 

Remittance 

Payment Method 

In the event of a trip booked under this reseller,  select is responsible for settling any outstanding payments. 

You can select from a few different payment options: 

  • Reseller Invoice + Voucher: Use this option if you choose to invoice the reseller at the end of the month, for example, for the amount of bookings they've processed. Invoicing resellers should be done outside of TripWorks. 
  • Reseller: Card on File: Use this option if your reseller will be paying for the reservation, using a card of their own. 
  • Customer: Cash/Card: If the customer will be paying through the TripWorks platform, select this option. 
  • No Payment Required: This allows reseller agents to book experiences without collecting payments. Consider this option if the reseller will be processing payments in person through their own payment processor. 

 

Collection Amount 

If payment is collected, select if the should the customer pay the Retail amount of Wholesale amount. 

 
 

Communication 

Disable Customer Communications 

Sometimes a reseller may send out their own confirmation email. If that's the case, check this box off to prevent automated confirmation emails from being sent to customers booked through this reseller.

 

Send a CC of All Booking Emails 

You can choose to forward a copy of all booking confirmations, reminders, and followups to the reseller.

Don't forget to select Update to save your changes.
