Getting Started with the TripWorks Mobile App

Manage your calendar, check in guests, create availabilities, take bookings, and view quick reports - all from your phone.

The TripWorks mobile app gives tour operators fast, on-the-go access to the tools they use most. Whether you are checking in guests at the dock, adding a last-minute time slot, or reviewing the day's numbers, the app is designed to keep your operations moving without needing to open a laptop.

This article walks through each section of the app so you can get up and running quickly.

App Navigation

The app is organized around five core actions, accessible from the bottom navigation bar on every screen. Four tabs sit across the bottom of the screen, with a central "+" button for quick-create actions.

In addition to the bottom tabs, you will find a search icon in the upper left of the screen and a settings menu in the upper right. Both are covered later in this article.

Calendar

The Calendar tab is your day-at-a-glance view. When you open the app, you will land here by default.

Navigating Dates

The current date is selected automatically. To view a different day, tap any date in the horizontal date strip at the top of the screen. If you need to jump further ahead or back, tap the date header to open the date picker, which lets you scroll through weeks and months quickly.

 

Viewing Activities

Scroll down to see all of your activities for the selected date. Each activity card shows a summary of that time slot at a glance. Tap any activity to open its detail view, where you can see the number of guests booked, seats still available, and the total capacity for that time slot.

Time Slot Actions

From the activity detail view, you have several actions available.

  • Change time slot status -- Set the status of a time slot to Open, Open Unrestricted, Open Offline, or Closed. You can also quickly close a time slot in a single tap. 
  • Edit capacity -- Adjust the capacity for the time slot directly from this screen.
  • View manifest -- Jump directly to the manifest for this specific time slot to see who is booked.
  • Send bulk message -- Send a message to all guests booked on this time slot.
  • Book -- Add a new booking to this time slot.
Coming Soon

Some buttons on this screen and throughout the app are visible but not yet active. These features are planned for a future update. Look for announcements in our release notes.

Guide Assignment

If your account uses the guide management functionality, you can assign guides directly from the calendar view. Each activity card shows who is currently assigned. Tap the edit icon next to the guide name to assign additional guides or remove existing assignments.

Manifest

The Manifest tab switches your view from the calendar to a booking-focused layout. Here you will see all activities with bookings for the selected date.

Activity and Guest List

Tap into any activity to see the guest list for that time slot. Each booking row displays the lead guest name along with a breakdown of how many people booked under each ticket type. If your account uses waivers, the waiver status for each guest is also displayed here.

Any custom fields associated with the booking will appear in this view as well, so your team has the information they need without digging into individual records.

Checking In Guests

To check in a guest, tap their name in the manifest. This marks the guest as checked in for that trip.

Viewing Booking Details

To see more details about a specific booking, tap the arrow icon next to the guest entry. This opens the full trip detail view, where you can:

Add a note Send an email to the customer
Flag the trip View trip history

From the trip detail view, you can also access tabs for outstanding balances, guest info, and full booking information, which includes waiver status, ticket type, add-ons, assigned resources, and more.

Quick Actions (+)

The center "+" button in the navigation bar opens a quick-action menu with shortcuts for the tasks you are most likely to need in the moment.

Add Availability

Need to open up a last-minute time slot? Tap "Add Availability" and your full list of activities will appear. Select the activity, choose a date on the calendar, pick a time, set the visibility, optionally add a note, and tap Create. The new time slot will immediately appear on your calendar.

Add Booking

Tap "Add Booking" to open the booking widget directly from the app. Select a date and time, then proceed through the standard booking flow to complete the reservation.

Quick Check-In

The Quick Check-In option gives your team three ways to locate and check in guests fast.

  • Manual lookup -- Type a customer's name into the search field. Matching trips will appear below, and you can tap a result to check the guest in.
  • QR code scan -- Tap the camera icon to open your device's camera and scan a guest's QR code for instant check-in.
  • Bluetooth scanner -- If your team uses a Bluetooth barcode scanner, you can pair it here and scan physical tickets or wristbands. For a list of supported devices, see Compatible Hardware and Devices.

Pair Card Reader

If you need to accept payments in the field, you can pair a supported card reader directly from the quick-action menu. TripWorks currently supports the M2 card reader. Follow the on-screen instructions to pair your device via Bluetooth.

Quick Reports 

The Reports tab provides a high-level snapshot of your business performance directly in the app, so you can check in on key numbers without switching to your desktop dashboard.

Time Period Toggle

At the top of the Reports tab, toggle between three time periods: Today, This Week, or This Month. The metrics below will update automatically to reflect the selected range.

You can also switch between viewing data by Date Created (when the booking was made) or Activity Date (when the trip is scheduled to take place). This distinction can affect how your numbers appear depending on when bookings were placed versus when they are fulfilled. Summary Metrics

The Reports tab displays four key performance indicators for the selected time period.

  • Total Sales -- The total revenue generated across all bookings in the selected period. This gives you a quick read on how business is tracking.
  • Passengers -- The total number of guests booked. This is useful for understanding volume and planning staffing or resource needs.
  • Average Transaction Amount -- Your total sales divided by the number of transactions. This helps you gauge whether upsells, add-ons, or pricing changes are moving the needle.
  • Previous Period Comparison -- Each metric includes a comparison to the equivalent previous period (for example, today vs. yesterday, or this week vs. last week), so you can quickly spot upward or downward trends.

Trending Chart

Below the summary metrics, a trending chart visualizes your performance over the selected time range. Use it to identify patterns, spot peak days, and get a sense of momentum at a glance.

 

Search

Tap the search icon in the upper-left corner of the screen to quickly look up guest bookings. Enter a guest name, and matching results will appear so you can jump directly to the booking you need without navigating through the calendar or manifest.

 

Settings

Tap the settings icon in the upper-right corner to access app-level preferences. These options let you customize the app's behavior to match your workflow.

Check-In Settings

  • Individual Check-In Mode -- When enabled, you can check in guests one at a time rather than checking in the entire group at once. This is useful when not all members of a party arrive together.
  • Auto Check-In with Balance Due -- When enabled, guests with an outstanding balance can still be checked in automatically. When disabled, a balance due will require resolution before check-in.

Hardware Pairing

  • Pair Bluetooth Scanner -- Connect a compatible Bluetooth barcode scanner for fast, hands-free check-in.
  • Pair Card Reader -- Connect a supported card reader (M2) to accept in-person payments.

Calendar Display

  • Hide Empty Bookings -- Toggle this on to remove time slots with zero bookings from your calendar view, reducing clutter on busy days.
  • Hide Full / Unavailable -- Toggle this on to hide time slots that are already at capacity or marked as unavailable, so you only see slots that can still accept bookings.

Report Display

  • Show Activity Breakdown -- When enabled, your Quick Reports will break down metrics by individual activity, so you can see which experiences are driving performance.
  • Show Location Breakdown -- When enabled, your Quick Reports will segment metrics by location, which is useful if you operate across multiple departure points or venues.
